Time Card Calculator
Add up a week of clock-in and clock-out times with breaks, get total and decimal hours, overtime over 40 hours and gross pay.
How to total a timesheet
For each day, subtract the clock-in time from the clock-out time, then subtract unpaid breaks. Add the days together for the week. Shifts that end after midnight are handled automatically.
Working 9:00 AM to 5:30 PM with a 30-minute unpaid lunch is 8 hours a day. Five days make 40 hours. Add a Saturday shift of 4 hours and the week is 44 hours, 4 of them overtime.
Decimal hours for payroll
Payroll systems use decimal hours: divide minutes by 60. 7 hours 45 minutes is 7.75 hours, not 7.45. The calculator shows both formats for every day.
Overtime rules
Under the federal Fair Labor Standards Act, non-exempt employees earn at least 1.5 times their regular rate for hours over 40 in a workweek. Some states add daily overtime; California, for example, requires overtime after 8 hours in a day. The pay estimate here uses the weekly federal rule.
Break rules
Federal law does not require meal breaks, but short breaks of 5–20 minutes must be paid when offered. Meal breaks of 30 minutes or more can be unpaid if you are fully relieved of duty. Many states set their own meal and rest break rules.
Frequently asked questions
How do I calculate hours worked in a week?
For each day subtract start time from end time and unpaid breaks, then add the days. The calculator does this and converts the total to decimal hours.
How do I convert minutes to decimal hours?
Divide the minutes by 60. 15 minutes is 0.25 hours, 30 is 0.5 and 45 is 0.75.
Are lunch breaks paid?
Breaks under 20 minutes are generally paid. Meal periods of 30 minutes or more can be unpaid if you are completely relieved of work.
